As a professional communicator, I am often asked to review an internal message from a newly minted corporate leader. Commonly, these communications read as if the writer pulled out their trusty thesaurus in an effort to sound more business-like or to prove why they deserve their new position. This practice is one surefire way to lose your audience. People do not need to believe that you know the latest buzzwords, nor do they have the time to sort through your prose to understand your message.

Some of the best executive communications I have ever come across are direct and to the point. Remember, the higher one rises within their organization, the wider the audience becomes. The engineer who uses highly technical terms will fail to reach the myriad of readers who do not work in technical positions. The marketing or communication director who waxes poetically will alienate the pragmatic employees. The HR executive who uses jargon when introducing the latest Human Resources app will discourage employees who will continue to call their HR rep instead.

Remember, it is not what words you use, but how you use the words that get your message across and lend you credibility.
